Job Summary
The Community Specialist cultivates an exceptional Advocate experience by leading the planning, execution, and continuous improvement of Advocate community, care, and engagement initiatives throughout the Advocate journey.
Reporting to the Ministries Director, this role owns the operational success of Advocate community experiences, including virtual gatherings, the annual Advocate Retreat, and year-round care initiatives. Working within the strategic direction established by the Ministries Director, the Community Specialist exercises independent judgment in planning, prioritizing, and executing ministry initiatives that help Advocates feel known, valued, connected to TFI and one another, and encouraged in their ministry.
Working collaboratively across the organization, this role brings the vision for Advocate community to life through thoughtful hospitality, sound operational leadership, and exceptional execution, creating meaningful experiences that strengthen relationships and advance TFI’s mission.
Duties and Responsibilities
Advocate Community
Create meaningful opportunities that help Advocates experience community, deepen their connection to TFI and one another, and remain encouraged in their ministry.
- Lead the planning and execution of monthly community experiences, both live and self-paced, that encourage relationships, shared learning, spiritual growth, and mutual encouragement among Advocates.
- Develop and oversee the operational plans, communication, project management, and logistics necessary to deliver meaningful Advocate community experiences.
- Collaborate with ministry staff and coaches to ensure community experiences achieve their intended outcomes while reflecting TFI’s culture and values.
- Share observations and Advocate feedback with the Ministries Director to support the ongoing development of Advocate community initiatives.
Advocate Care
Develop and coordinate intentional expressions of care that help every Advocate feel known, valued, and supported throughout their ministry journey.
- Develop and oversee the annual Advocate care calendar, including ministry anniversaries, birthdays, Foster Care Month, Christmas care initiatives, and other meaningful touchpoints throughout the Advocate journey.
- Coordinate thoughtful gifts, care packages, and other expressions of encouragement that reflect TFI’s culture and values, exercising discretion in how the approved annual budget is used and paying careful attention to every detail of the Advocate experience.
- Maintain records of Advocate care initiatives, gifts, and related expenditures to ensure consistency, stewardship, and meaningful engagement over time.
- Ensure ministry staff and coaches have the resources and supplies needed to consistently care for Advocates.
Advocate Retreat
Lead the planning and execution of the annual Advocate Retreat, creating an intentional gathering that connects Advocates to their people and reignites their passion for ministry.
- Own the operational planning, execution, and continuous improvement of the annual Advocate Retreat, ensuring every aspect of the experience supports the retreat’s purpose, program, desired outcomes, and approved budget.
- Develop and manage the retreat project plan, coordinating timelines, deliverables, and cross-functional responsibilities to ensure speakers, ministry staff, event planning partners, and vendors remain aligned and on schedule.
- Develop and manage registration, attendee communication, vendor relationships, and operational logistics necessary for a successful retreat.
- Evaluate retreat venues, conduct site visits, and coordinate operational details with event planning partners and vendors, recommending a location each year that best supports the retreat’s purpose, accessibility, budget, and Advocate experience.
- Oversee lodging, meals, meeting spaces, décor, supplies, audio/visual needs, and on-site logistics, exercising sound judgment to resolve operational challenges and deliver an exceptional Advocate experience.
- Evaluate retreat outcomes, participant feedback, operational effectiveness, and budget performance, implementing operational improvements and recommending enhancements for future retreats.
Operational Support
Provide the operational coordination, resources, and systems that support ministry initiatives and strengthen the overall Advocate experience.
- Lead the planning and execution of National Team Advocate prayer gatherings, including project management, meeting preparation, communication, and facilitation.
- Manage the preparation, organization, and distribution of ministry resources, books, and supplies that support Advocate community, care, and ministry initiatives.
- Maintain inventories, operational systems, and project management tools that support the Ministries department and Advocate experience.
